Privacy Policy

Effective October 12, 2026

This policy explains what NewMent Inc. ("NewMent", "we") collects when you use Voiceful, what we do with it, and who else touches it. Voiceful handles phone calls and text messages, so a lot of what passes through it is personal information about people who never signed up: the customers and prospects our customers talk to. We take that seriously, and this page tries to be specific about it.

1. Our role

For the calls, recordings, voicemails, transcripts, messages and contacts a business puts into Voiceful ("Customer Data"), that business is in charge and NewMent acts as its service provider. We process Customer Data only to provide the Service to that customer, under its instructions and our Terms of Service. If you called or texted a business that uses Voiceful and want to exercise privacy rights, please contact that business first. We will help them respond.

For account information about our own customers and their users, and for visitors to our website, NewMent decides how the data is used, and this policy covers it directly.

2. What we collect

  • Account information: name, email, hashed password (or your Google account ID if you sign in with Google), organization name, team and role details, and billing contacts.
  • Contacts: names, phone numbers, emails, companies, notes and SMS opt-out status that you add, import or sync from HubSpot.
  • Call metadata: numbers called and calling, time, duration, direction, status, the user and phone number involved, and how the call was routed.
  • Call recordings and voicemails: audio, when recording is turned on or a caller leaves a message.
  • Transcripts and AI output: text transcripts of recordings and voicemails, and the summaries, scores and coaching notes generated from them.
  • Text messages: the content of SMS and MMS sent and received, attachments, and delivery status.
  • Usage and device data: pages and features used, IP address, browser and device type, and error logs. We use a session cookie to keep you signed in. We do not run advertising trackers.

3. How we use it

  • to connect calls and deliver messages, and to record, store, transcribe and summarize them when the customer turns those features on;
  • to run AI voice agents the customer has set up;
  • to keep accounts secure, detect fraud and spam, and enforce opt-outs and usage limits;
  • to provide support, send service email, and bill;
  • to fix bugs and improve the Service;
  • to meet legal obligations, including carrier and A2P 10DLC registration requirements.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

4. Who processes it

We use these companies to run Voiceful. Each gets only what it needs for the job listed.

ProviderWhat it does for us
Twiliophone numbers, call routing, browser and app calling, SMS and MMS, voicemail and the first copy of call recordings
Retell AIruns AI voice agents that place or answer calls, including the live audio of those calls
Deepgramtranscribes call recordings and voicemail, and live audio when real-time coaching is on
Anthropicreads transcripts to write call summaries, scores and coaching notes
Cloudflare (R2)stores call recordings and uploaded audio files
Pusherpushes real-time updates (incoming calls, new messages) to your open browser tabs and apps

Railwayhosts the application, database and job queue
Googleonly if you choose "Continue with Google" to sign in

Two more flows happen only when a customer switches them on. The HubSpot integration sends calls, messages and contact details to the customer's own HubSpot account. Webhooks send call and message events to URLs the customer chooses. Those destinations are run by the customer and their vendors, not by us.

We may also disclose information when the law requires it, to protect people from harm or fraud, or as part of a merger or sale of the business, in which case this policy keeps applying to it.

5. Text messaging and opt-in data

Phone numbers and SMS opt-in or consent information are not shared with third parties or affiliates for their marketing or promotional purposes. We share them only with the providers above (mainly Twilio) to deliver messages. Anyone can reply STOP to stop texts from a business on Voiceful, and HELP for help. Message and data rates may apply.

6. How long we keep it

Call recordings, voicemails, transcripts and messages are kept until the customer deletes them or closes the account. We do not run an automatic expiry. A customer can ask us at [email protected] to delete specific recordings or all of its data sooner. Account information is kept while the account is open and for a limited time afterward for billing, legal and security records. Backups roll off on their normal schedule.

7. Security

Data travels over TLS. Recordings are stored in Cloudflare R2 and linked only from inside the customer's own account. Passwords are hashed. Webhooks from Twilio are signature-checked. Access inside NewMent is limited to people who need it to run or support the Service. No system is perfectly secure, and if a breach affects your information we will notify you as the law requires.

8. Your California privacy rights

If you live in California, the CCPA as amended by the CPRA gives you the right to know what personal information we collect and how we use and disclose it, to get a copy, to correct it, to delete it, and to limit use of sensitive personal information. You also have the right not to be treated differently for using these rights. We do not sell or share personal information as those laws define it, so there is nothing to opt out of.

To make a request, email [email protected] from the address on your account, or describe your relationship to us if you do not have one. We will verify your identity before acting, and you can use an authorized agent. For Customer Data (see section 1), we will pass the request to the business that controls it. Residents of other states with similar laws can use the same address.

9. Children

Voiceful is a business service for people 18 and older. We do not knowingly collect information from children under 13, and if we learn we have, we will delete it.

10. Changes

We will update this page when our practices change and move the effective date. If a change is material, we will tell account owners by email or in the app before it takes effect.
